New Admissions
- Completing the admission form does not guarantee a place in Madrasah.
- New pupils are taken prior to the declared admission date each year.
- There will be an admission fee of £20 for all new pupils enrolling.
- The minimum age for admission is 4 years.
- Admissions must be submitted as much in advance as possible, as all requests for admissions are dealt with in date order. This MUST be made on a “preliminary admission form” for both siblings and non-siblings. Verbal communication will not be sufficient. It is in your interest to ensure we receive your completed admission form by contacting us approximately a week after sending it. A photocopy of the birth certificate must accompany all such forms.
- We aim to finalise all admissions as soon as possible. A letter of acceptance of admission will be sent out to all successful applicants.
- If your admission is not successful, we will write to you.
- Admissions that are not successful are not “automatically carried over” into the next year. A separate and new admission will have to be submitted on the “preliminary admission form” (this includes siblings).
- Priority is given in the following order:
- Staff children.
- Siblings.
- A written recommendation by a staff/management member. The exception to this is recommendations for relatives.
- Masjid-E-Falah Members
- Date order (first come first served).
- We may admit a child under special and exceptional circumstances who may not meet all or part of our admission priority.
- Once a pupil has left the Madrasah, we do not normally re-admit except in very exceptional circumstances.
- A reference letter from a previous Madrasah may be requested at ANY time. Madrasah Falah reserves the right to contact previous Madrasah(s)/Teacher(s)/Head teacher(s) in respect to admission in Madrasah Falah.
- Any special circumstances MUST be reported to Madrasah Falah prior to admission; this includes expulsion from a previous establishment, behavioural problems and any other such piece of information that would be of interest to Madrasah Falah
- We do not admit pupils who have been expelled from another institution.
- Admission during mid-term is at the absolute discretion of Madrasah Falah
- We discourage parents from removing their child from another Madrasah during term time (unless you are moving in the area). This not only disrupts the functioning of that particular Madrasah, it could also create other “tensions”.
- If you wish to remove your child from the Madrasah then the fees for the complete year must be paid.
- If your child is leaving another Madrasah, then it is a moral obligation on your part that you inform them as much in advance as possible. This enables them to plan effectively.
- Admission is subject to these terms and conditions, and upon the acceptance of any changes/additions that may take place.
- It is your duty to acquire a copy of this document at the beginning of each academic year, so that you are fully aware of all current rules and regulations, and of any changes/additions.
- The admission for siblings must be submitted as soon as possible. We usually remind parents via the regular messages that are sent from the Madrasah. Failure to do so may result in your child not being granted admission. We can only take on NEW pupils if we have the exact number of siblings enrolling. Please ensure you fill out a preliminary admission form.
- All admission queries (progress of your application etc) must be submitted well before the specified admission date.
Annual Fees
- Fees are typically payable in two installments each year; however, payment in full at the beginning of the academic year is recommended, especially for parents with only one child enrolled in Madrasah Falah, to ease the process for both families and the Madrasah.
- Fees must be paid within three days of the due date. A second reminder will follow after five days. If fees remain unpaid after this notice, the child’s enrollment will be canceled until payment is fully made.
- All contributions submitted to the Madrasah are non-refundable under any circumstances.
- Fees are due in full for the entire academic year, regardless of any pupil absences, as the place remains reserved for your child.
- Should a pupil withdraw from the Madrasah before the academic year concludes, full-year fees become payable immediately, as the reserved place prevents us from offering it to another pupil.
- A reminder will be sent for each fee installment, outlining the deadline date. Should payment not be received by this date, additional reminders will be issued weekly, with up to four notices sent per outstanding installment. If fees remain unpaid a week after the final reminder, the pupil’s enrollment will be suspended until the outstanding balance is resolved.
- Fees must be paid within three days of the due date. A second reminder will follow after five days. If fees remain unpaid after this notice, the child’s enrollment will be canceled until payment is fully made.
- Parents facing challenges with the installment schedule are encouraged to contact the Headteacher promptly. We strive to assist families in meeting their obligations in a supportive manner.
- Upon payment, a receipt will be provided. Please keep all receipts as proof of payment, which may be necessary for resolving any fee-related discrepancies.
- If sending fees with your child, please use a sealed envelope marked “Madrasah Fees,” clearly stating the child’s name and address. Ideally, fees should be handed to your eldest child in Madrasah, or directly to the office if no child is in level 4 or higher.
- Any dishonoured cheques will incur a charge in line with the standard fee.
- All cheques should be made payable to “Masjid-E-Falah.”
Parent/Madrasah Communication
- All communication must be through either ClassDojo, Madrasah Phone/WhatsApp or Madrasah Email
- Complaints should be directed to the Madrasah office; only communication via the above channels will be considered.
- Communication sent directly to teachers’ personal devices will not be accepted, as we aim to respect their personal time, reduce miscommunication, & alleviate the administrative burden on our Madrasah’s teachers.
- All communication should be courteous and respectful, whether in person, via email, phone, or messaging platforms.
- Parents and teachers are expected to maintain a calm and polite tone, even when discussing concerns or conflicts.
- Avoid any form of rude, aggressive, or disrespectful language. Personal attacks, raised voices, or condescending remarks are not acceptable.
- Swearing, vulgar language, or offensive speech is strictly prohibited.
- Threatening or intimidating language will not be tolerated and may result in escalation to administration or further disciplinary action.
- Breaches of this policy may result in a written warning, formal meeting, or restricted communication methods, as deemed appropriate by the administration.

All parties should model Islamic values of patience, respect, and compassion, including offering greetings of salaam and maintaining a spirit of mutual respect.
Attendance, Lates & Absences
- Madrasah hours are from 5:15 P.M. to 7:15 P.M. Please ensure your child arrives on time. If they will be late, kindly notify the Madrasah in advance.
- Parents are advised to avoid scheduling extracurricular activities, such as football training or other after-school events, during Madrasah hours. Regular lateness or absence will be addressed directly with parents, and further actions may be taken if necessary. Requests for late arrivals due to such activities cannot be accommodated.
- All pupils are to be collected promptly at the end of Madrasah hours. It is the parent’s responsibility to ensure timely pick-up.
- Road and safety regulations must be observed at all times.
- All absences should be reported in advance whenever possible to support effective monitoring. Consistent lateness or absence will require a meeting with Madrasah administration, and written explanations are required for all absences.
- Frequent absences may affect a pupil's academic progress and could result in retention if minimum requirements are not met.
- The minimum attendance requirement is 85%. Admission will be reviewed if this target is not met.
- Absences during school holiday periods are common. Madrasah Falah is making efforts to align Madrasah and school holidays as closely as possible.
- A yearly holiday schedule is provided at the start of each academic year. Please ensure you have this schedule and plan accordingly.
- The earliest pupils may enter the Madrasah is 5:10 P.M. Doors will open at that time; please do not send pupils before this.
- Madrasah doors will be locked at 5:15 P.M. and reopened at 7:15 P.M. Late arrivals may only enter if prior notification has been provided with a valid reason. Please avoid ringing the bell after doors are closed, to minimize disruptions.
- Any pupil absent for fifteen consecutive Madrasah days without prior notice will have their admission terminated.

Hifz
- Memorising the Qur’an is a significant commitment that requires dedication from students and active support from parents. Parental involvement and encouragement at home contribute greatly to a pupil's success.
- Parents should carefully consider the requirements for Hifz class before enrollment, including the commitment to learning Sabaq, Sabaq Sipara, and Dour, as well as the extra effort needed outside of Madrasah hours.
- To qualify for Hifz class, pupils must be able to recite the Qur’an fluently, as this skill is essential for success. Parents are advised to focus on developing recitation fluency in Levels 2 and 3 rather than memorisation, as premature memorisation can hinder progress in Hifz class.
- Admission to the Hifz class is generally considered only after a pupil has completed Levels 1-4 to ensure fluency, except under exceptional circumstances.
- The primary requirement for Hifz class admission is fluency in Qur’an recitation. This skill is expected to be achieved by the completion of Level 4.
- To apply for Hifz class, parents must submit a written application to the management. Verbal discussions about enrollment are welcome, but a written application is required for record-keeping purposes.
- Applications from students not currently attending the Madrasah will be considered based on space availability, with priority given to current students. An assessment will be conducted to ensure the required criteria are met.
- Progress reviews are conducted every 10-12 weeks, during which a meeting with parents is held to discuss whether each pupil has met their individual targets. This review system allows both the Madrasah and parents to monitor progress.
- If a pupil consistently misses targets over three consecutive reviews, the Madrasah will work with parents to identify the best approach for improvement.
- Each pupil receives a record book, which logs daily progress. Parents may request to have the record book sent home, and in some cases, the teacher may advise pupils to take it home for parental review. Parents are asked to ensure the record book is properly maintained.
- Currently, Hifz class runs from 5:00 P.M. to 8:00 P.M., Monday through Friday. Full attendance and punctuality are essential to maintain progress.
- The Hifz class operates during the month of Ramadan, with adjusted timings.
- Each pupil is required to recite Sabaq, Sabaq Sipara, and Dour daily, tailored to individual ability. There is no minimum Sabaq requirement, but daily progress and recitation standards are expected.
- Definitions:
- Sabaq: The new lesson recited to the teacher daily.
- Sabaq Sipara: Recent lessons recited for retention, typically covering around a quarter of a Sipara.
- Dour: Review of previously memorised portions, starting with half a Sipara daily, which increases as more is memorised. Emphasis is placed on Dour, and any missed portions must be recited first on the following day.
- Twice yearly, Sabaq recitation is paused for approximately two weeks, during which only Dour is covered. This period strengthens memorisation and prepares pupils for assessments.
- Given the time commitment for school and Madrasah, parents are encouraged to manage their child’s daily schedule to balance academic and memorisation responsibilities. Effective planning during weekends and school holidays is essential for maintaining progress while allowing time for rest.
Health & Sickness
- Children should visit the lavatory before arriving at Madrasah. Younger children should be taught to manage independently when needed.
- Personal hygiene is essential. Children are encouraged to shower before Madrasah if involved in sports or similar activities and to wear clean socks and other attire regularly.
- Please ensure that children attend Madrasah in clean attire.
- Any child with a rash, eye or nose discharge, diarrhoea, or other contagious conditions should remain at home until fully recovered and certified as non-contagious.
- If a child becomes unwell during Madrasah hours, we reserve the right to seek emergency assistance or, if necessary, arrange hospital transport. We will take any additional steps deemed appropriate.
- Unenrolled children should not attend Madrasah. During summer holidays, additional children sometimes attend with siblings, but responsibility cannot be assumed for those who are not officially enrolled.
- For students with asthma or other medical needs, please ensure that a spare asthma pump or necessary medication is provided to the Madrasah office in addition to the one your child carries with them. This ensures quick access to essential medication in case of emergencies.
Fire Safety & Safeguarding
- The Madrasah is committed to upholding its responsibilities for fire safety.
- The following procedures are implemented to ensure the safety of all pupils and staff:
- Conducting comprehensive risk assessments.
- Maintaining clear fire safety procedures.
- Establishing an evacuation policy.
- Appointing designated Fire Wardens, both male and female.
- All fire safety policies and procedures are available for inspection at the Madrasah. These documents are periodically reviewed to ensure ongoing compliance and effectiveness.
- At the start of each academic year, assemblies focus on health, safety, and fire protocols. Students receive guidance on these topics, supplemented by a handout to take home.
- The Madrasah conducts a minimum of one fire drill each academic year to practice evacuation procedures.
- Fire safety equipment includes two strategically located fire extinguishers within the premises.
- Each classroom and hallway is equipped with centrally linked smoke alarms and fire doors.
- Emergency lighting is available throughout the building in the event of an electrical failure.
- A designated fire assembly point is established for safe gathering during evacuations.
- All fire exits and escape routes are clearly labelled for easy identification.
- The Madrasah complies with all recommendations and regulations set forth by Lancashire Fire & Rescue Service.
- A fire safety logbook is maintained to record all fire drills and testing of emergency equipment, managed by the Fire Wardens.
Detention
- Detention notices are provided with at least one day's advance notice.
- Requests to reschedule detention may be considered if a genuine reason is provided.
- If a detention session is missed without prior notice, an extended detention period will be assigned.
- Detentions must be completed within the specified timeframe.
- Detentions will not be waived. Adherence to the Madrasah's values, rules, and regulations is expected of all pupils, and no exceptions will be made.
- During detention, pupils will be given constructive tasks or assignments.
- Parents are responsible for arranging timely pick-up following the completion of detention.
- Our goal is to support your child’s character development. If issues persist, a meeting can be arranged to discuss supportive steps for your child’s improvement.
Complaints
- All complaints should be directed to the Headteacher as the primary point of contact.
- Formal complaints must be submitted in written form.

- The Headteacher will acknowledge receipt of the complaint within a reasonable time frame (e.g., 24-48 hours excluding weekends & holidays).
- A thorough review of the complaint will be conducted, and a response or resolution will be provided as promptly as possible.
- If the issue remains unresolved after the initial response, the complaint may be escalated to the committee or trustees for further review.
- All communication must adhere to the Madrasah's policy on respectful tone and language.
